Rainbow Palace Policies and Procedures
TUITION FEES AND FEES
- Registration Fee: $150.00. This fee is due when your child first enrolls in our program and on the first week of July to guarantee a spot for the following year. Registration fees are NON-REFUNDABLE.
- Deposits: All deposit amounts are equal to a full week’s worth of tuition. The deposit will be used towards the last week your child is enrolled with Rainbow Palace. A full 2-week notice is required via messaging on our app or email in order to receive credit toward the last week of attendance. If the child is taken out without prior notice, the deposit will not be returned.
- Tuition: Tuition is based on enrollment and not attendance. Full tuition is due every Thursday before noon, regardless of attendance or any closure of Rainbow Palace. No discounts can be applied to the tuition.
- Returned Payments: Parents will be charged $20 + any associated bank fees in the event of a returned payment. Two returned payments will result in future payments being required via Zelle, sent on Thursdays before noon.
- Late Payment Fees: Payments are due in full each Thursday at noon for the following week. A late fee of $15.00 will be charged if payment is not received on Thursday by noon, plus $10.00 per business day after. Children may not attend daycare unless full payment and all late fees have been paid up to date. There are absolutely no exceptions to this rule.
- Payment Methods:
- ACH Debit: Charged an additional $1.33 fee per transaction.
- Debit/Credit Card: Charged a flat 2.4% per transaction.
- Tuition Increase: The tuition increases by 2% yearly to support inflation in food, learning resources, and payroll.
HOURS
- The daycare is open from 7:30 a.m. to 5:30 p.m., Monday through Friday.
- Before 7:30 a.m. and after 5:30 p.m., additional charges will apply at a rate of $20.00 for every fifteen minutes, charged at the beginning of each 15-minute period.
- Check-in Times: Please bring your child before 10:00 a.m. OR after 1:30 p.m. on a standard program day. Our children have staggered lunch and nap schedules that range from 10:00 a.m. to 1:30 p.m.
- Exceptions: If the child has a doctor’s appointment, a doctor's note is required.
- Communication: Please call by 8:30 a.m. if your child will be late or absent, so we can plan meals and activities accordingly. Sending an estimated time of arrival for drop-off and pick-up is helpful for meal preparation.
UNIFORMS
- A free uniform t-shirt will be given with registration when your child is enrolled.
- Uniforms are mandatory for children 18 months and older.
HOLIDAYS AND CLOSURES
- The daycare will be closed on all major holidays.
- Snow Days/Natural Disasters: Rainbow Palace will no longer follow the public school system. We will use local school closure notifications as guidance. If Rainbow Palace must close due to inclement weather or other emergencies, tuition will not be affected.
NAPPING
- Your child will nap daily from 11:30 a.m. to 1:30 p.m. (depending on age) on a 2” antimicrobial mat provided by Rainbow Palace.
- Fitted crib sheet: You are required to bring in a freshly cleaned fitted crib sheet on Mondays. Rainbow Palace will send home the fitted sheet on Fridays for laundering.
TOYS
- Toys from home are not allowed. Any toys brought from home will be placed in the child’s cubby until the end of the day to prevent mishaps or disagreements.
NOTICE OF TERMINATION
- Two weeks’ (14 days) advance notice in writing is required to withdraw your child from the program. If two weeks' notice is not given, the deposit will not be returned.
- Date Night Fees: If any date nights were taken, they will be charged at a rate of $75.00 per date night and deducted from your deposit.
- Rainbow Palace's Right to Terminate: Rainbow Palace reserves the right to terminate this contract at any time for reasons such as non-payment, safety concerns, or mistreatment of employees. In such cases, the deposit will not be returned.
HEALTH & SAFETY
- Health of Provider: Each person working at Rainbow Palace must be in good health, with no communicable diseases, and must complete a health history questionnaire and TB test as required by the state.
- Children’s Health: All children must have a completed health evaluation form and up-to-date immunizations before enrollment. A yearly updated physical form from the doctor is required.
- Sick Policies: A child will be sent home if their temperature is 100.4°F or higher or if they show symptoms like cough, diarrhea, vomiting, etc. They may return when they are symptom-free for at least 24 hours. Doctor notes are recommended for return.
CAMERAS AT THE DAY CARE
- Cameras are used for training purposes and to monitor your child's environment.
CHILD DISCIPLINE
- Quiet Time: Quiet time is the primary method of discipline, calculated as one minute per year of the child’s age. This method is used if a child is hurting others or needs a moment to calm down. We are happy to discuss and reinforce any methods you may use at home.
VACATION TIME
- Rainbow Palace will be closed for the last two weeks of August each year. Parents must pay for the first week. After 10 months of enrollment, families will get one week free (last week of August). Families who have not been with Rainbow Palace for 10 months must pay for both weeks.
- Rainbow Palace will offer five date nights throughout the year. Full-time families can choose three date nights free, while part-time families can choose one date night free. If your child does not return in September, date nights will be charged at $75.00 per night.
BRIGHTWHEEL
- Brightwheel is the app used for communication between parents and staff. Please check the app regularly for photos, videos, and updates on your child’s day. The staff may not respond immediately during daycare hours, as their primary focus is the children’s safety.
DAILY WALKS AND LIBRARY TRIPS
- When weather permits, children will go on daily walks, either in strollers or holding an employee’s hand. Library trips will occur 1-2 times a month, with the librarian occasionally visiting the daycare if the weather is not conducive to a trip.
SUNSCREEN
- Parents must supply sunscreen for their child, which will be applied on sunny days. Please test the sunscreen on your child before sending it. Initialing this section gives Rainbow Palace permission to apply sunscreen to your child.
FOOD SERVICE
- Rainbow Palace participates in the USDA Food Program and provides meals that meet USDA requirements.
EMERGENCY AND DISASTER PLANNING
- Rainbow Palace has an emergency plan on file to ensure the safety of the children and staff.
I HAVE READ AND ACCEPT THE POLICIES AND PROCEDURES OF Rainbow Palace. They are part of my contract, and I understand that this contract may be reviewed and revised as necessary. I will be provided with written notice of any changes at least 30 days prior to any revisions.
